Privacy notice

Protection of Personal Information Act, 4 of 2013 (POPIA)

Matebook Group is the responsible party for the personal information collected through Mate Events registration pages. This notice explains what we collect, why we collect it, how long we keep it and the choices you have.

Information we collect

Your name and surname, email address, mobile number, organisation and job title, your attendance response and number of additional guests, and any dietary, accessibility or special requirements and answers to event-specific questions you choose to give us. We also record when you check in at the venue.

Dietary and accessibility details may reveal health or religious information. We collect these only where you supply them, use them solely for catering and access arrangements, and share them only with the suppliers who need them for that purpose.

Why we process it

  • Confirming your registration and issuing your entry pass and QR code.
  • Managing capacity, catering, dietary and accessibility arrangements.
  • Sending you event confirmations, reminders and essential updates.
  • Verifying attendance at the venue on the day of the event.
  • Keeping records required for safety, security and reporting obligations.

Our lawful basis is your consent, given when you submit the registration form, and our legitimate interest in safely running the event you asked to attend. Providing your name and email is necessary to register; everything else is voluntary.

Who we share it with

Only the event organisers and check-in staff for the specific event you registered for, and the service providers that host the platform and deliver our emails, who act on our instructions under confidentiality obligations. We never sell your information and we do not use it for automated decision-making or profiling.

How long we keep it

Registration records are kept only for as long as needed to run the event and meet legal, safety and reporting obligations — normally 24 months after the event — after which they are deleted or anonymised.

How we protect it

Data is encrypted in transit, stored in an access-controlled database with row-level security, and reachable only by authenticated staff assigned to your event. Entry passes use a random token rather than your personal details.

Your rights

  • Access the personal information we hold about you.
  • Ask us to correct, complete or delete inaccurate or outdated information.
  • Object to processing or withdraw your consent at any time.
  • Ask us to stop sending you optional event marketing.
  • Lodge a complaint with the Information Regulator of South Africa.

To exercise any of these, contact our Information Officer at privacy@matebookgroup.co.za. Withdrawing consent does not affect processing that already took place, and may mean we can no longer admit you to the event.

You may also complain to the Information Regulator (South Africa) at complaints.IR@justice.gov.za.
